1. Scope and controller
Avcı Global (referred to as “Avcı Global”, “we”, “us” or “our”) is the controller of personal data described in this Privacy Policy. This policy applies to visitors of www.avci-global.com, representatives of prospective or existing business partners, and individuals who submit a request for quotation (“RFQ”) or contact us about our products and services.
Our Global Headquarters is in Üsküdar, Istanbul / Turkey. Our Europe Office is in Le Cannet / France, and our DACH Region Office is in Vienna / Austria. Privacy questions and rights requests may be sent to contact@avci-global.com.
2. Personal data we collect
Depending on how you interact with us, we may collect:
- Business identity and contact data: full name, company name, business country, email address, telephone or WhatsApp number, and professional role if you provide it.
- RFQ and transaction data: OEM part numbers, brand, quantity, delivery country, vehicle or technical information, target dates, correspondence, quotation history, commercial requirements, and order-related records.
- Technical and security data: IP address, browser and device information, timestamps, requested pages, referral information, and security or diagnostic logs generated by our hosting and form-delivery providers.
- Communications: information contained in emails, telephone calls, messages, attachments, and follow-up correspondence with our team.
Please do not submit special-category personal data, confidential personal documents, payment-card details, or information that is unnecessary for an automotive parts inquiry.
3. Where the data comes from
We obtain most personal data directly from you when you complete the RFQ form or communicate with us. We may also receive business contact information from your employer, an authorised colleague, a trade partner, publicly available corporate sources, or records created during a commercial relationship.
4. Purposes and legal bases
We process personal data only where we have an appropriate legal basis. The relevant basis depends on the context and may include:
- Pre-contractual steps and contract performance: to assess an RFQ, verify product requirements, prepare quotations, communicate availability and lead times, negotiate terms, fulfil orders, and provide after-sales support.
- Legitimate interests: to operate and protect our B2B website, manage supplier and customer relationships, prevent fraud or misuse, maintain commercial records, improve procurement processes, and establish or defend legal claims. We balance these interests against the rights of affected individuals.
- Legal obligations: to meet applicable accounting, tax, customs, trade-control, record-keeping, regulatory, and lawful disclosure requirements.
- Consent: where the law requires consent for a specific optional activity. Consent may be withdrawn at any time without affecting prior lawful processing.
Information required in the RFQ form is necessary for us to evaluate and respond to your inquiry. If it is not provided, we may be unable to prepare a meaningful quotation.
5. RFQ form delivery
Our website uses FormSubmit, a third-party form-delivery service, to securely transmit RFQ submissions to our business email inbox. FormSubmit processes form content and related technical information to provide this delivery service. Its handling of data is also governed by the FormSubmit privacy terms.
You may alternatively submit an inquiry directly by email to contact@avci-global.com. We do not sell RFQ data or use it for unrelated advertising.
7. International data transfers
Our cross-border B2B activities and service providers may involve processing in Türkiye, the European Economic Area, and other jurisdictions. Where personal data is transferred internationally and applicable law requires safeguards, we rely on an adequacy decision, appropriate contractual safeguards, or another legally recognised transfer mechanism. You may contact us for information about safeguards relevant to your data.
8. Retention
We retain personal data only for as long as reasonably necessary for the purpose for which it was collected. RFQs that do not lead to a commercial relationship are generally retained for up to 24 months after the last meaningful interaction so that we can follow up, avoid duplicate work, and maintain an appropriate inquiry history. Records connected with quotations, orders, customs, payments, warranties, disputes, or legal obligations may be kept for longer in accordance with applicable retention periods and limitation rules.
We may retain a minimal record where necessary to document a rights request, honour an objection, prevent fraud, or establish, exercise, or defend legal claims. When information is no longer required, it is deleted, anonymised, or securely restricted.
9. Security
We apply reasonable administrative and technical measures designed to protect personal data against unauthorised access, alteration, loss, disclosure, or misuse. Measures include access limitation, encrypted HTTPS transmission, service-provider controls, and operational review. No internet transmission or storage method can be guaranteed to be completely secure.
10. Your data protection rights
Subject to the GDPR and other applicable law, you may have the right to:
- request access to and a copy of your personal data;
- request correction of inaccurate or incomplete data;
- request deletion or restriction of processing in qualifying circumstances;
- object to processing based on legitimate interests and object at any time to direct marketing;
- receive certain data in a structured, commonly used, machine-readable format and request portability;
- withdraw consent where processing relies on consent; and
- lodge a complaint with the competent data protection supervisory authority, particularly in the country of your habitual residence, place of work, or the alleged infringement.
To exercise a right, email contact@avci-global.com and describe your request. We may ask for proportionate information to verify identity and authority before acting. Legal exceptions may apply, and we will explain any lawful limitation in our response.
12. External links and policy updates
Our website may link to third-party websites that operate under their own privacy practices. We are not responsible for their content or data handling. We may update this policy to reflect changes in our services, providers, or legal obligations. The effective date at the top of this page identifies the current version.
